A photo captures a moment. A change record explains why that moment matters to a job. When a customer requests something different or a hidden condition changes the plan, the most useful record connects evidence with a plain-language description of the decision that needs to be made.

Describe what changed

Start by distinguishing the original work from the newly requested work. “Additional repair needed” leaves much open to interpretation. A more useful description identifies the location, the observed condition, and the specific adjustment being discussed. Avoid blending an observation with an assumption about its cause.

Keep the context with the evidence

Choose photos or short videos that help someone understand the change. An overview can establish location; a closer view can show the condition. Give each item a purpose rather than relying on a large collection of unexplained images. Use neutral descriptions so the record remains understandable to someone who was not present.

Separate a request from a decision

Sending details for review and receiving approval are different events. Keep that distinction visible. If a proposed scope changes after review, make clear which version is being discussed instead of treating an earlier response as approval of a new proposal.

Make the record useful later

A good record should answer four ordinary questions: What was observed? What work was proposed? What was the decision? Where can the supporting context be found? Reviewing those questions before closing a record can reveal missing details while they are still easy to clarify.

ChangeProof’s Google Play listing describes photos, short videos, written scope details, and customer-approval workflows. Those features can support the documentation process.
