Caivra Tech LLC (“Caivra,” “we,” “us,” or “our”) operates ShiftEcho, a caregiver documentation and reporting platform. This Privacy Policy explains what information we collect, how we use it, how we share it, and what choices you have. By using ShiftEcho, you agree to the practices described in this Privacy Policy.
1. Information We Collect
We may collect account information (name, email, hashed password credentials), care and patient information you enter (patient names, dates of birth, conditions, medications, allergies, care notes and timeline entries), audio recordings you create in ShiftEcho along with the transcripts and structured care notes generated from them, billing information processed by Stripe (Caivra does not store full payment card numbers), and operational and security information such as audit logs and basic service logs.
2. How Audio Recording Works
Audio recording starts only when the user taps the record button inside the app. ShiftEcho records audio only while the app is actively used in the foreground for that function, and a recording indicator is shown while recording is in progress. Users can pause, cancel, or save recordings from within the recording workflow.
3. How We Use Your Information
We use information we collect to provide and operate ShiftEcho, create and display caregiver documentation, generate transcripts and structured care notes, authenticate users, provide customer support, process subscriptions and billing, maintain logs and troubleshoot issues, and enforce our terms, policies, and security controls.
4. AI Processing
To generate transcripts and structured care notes, ShiftEcho sends audio recordings to our AI processing provider, Google Gemini, for transcription and analysis. The provider returns transcript and note-generation output, which may be stored in the user’s account as part of the documentation workflow. The provider’s handling of submitted content is governed by its own policies and terms. If a user does not want audio sent for AI transcription and analysis, they should not use the audio recording feature.
5. Storage and Retention
Caivra stores account data, care notes, transcripts, patient records, and related operational data on systems used to run ShiftEcho. Audio recordings created in ShiftEcho are retained on our servers until the user deletes them. Caivra retains account and care-related data until the user deletes it inside the app or requests deletion of the account, subject to legal, accounting, fraud-prevention, or similar obligations where retention may be required.
6. Deletion Rights
Users may be able to delete certain recordings, notes, observations, entries, and patient records from inside the app. Users may also request deletion of their account and associated data by contacting support@caivra.com or through the settings/support workflow made available in the app. We will review and process verified deletion requests within a reasonable period, subject to any legal or operational retention obligations.
7. How We Share Information
We do not sell or rent personal information to advertisers or data brokers. We share information only as needed to operate ShiftEcho, including with service providers such as Google Gemini (audio transcription and analysis), Stripe (subscription billing and payment processing), hosting and infrastructure providers, and other service providers necessary to support account access, delivery, security, and operations. We may also disclose information when required by law, to protect rights, safety, and security, or in connection with a business transfer, merger, acquisition, or restructuring.
8. Security
We use administrative, technical, and organizational measures designed to protect information processed through ShiftEcho, including encrypted connections using HTTPS/TLS, password hashing, role-based access controls, and audit logging for key actions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Billing and Payments
Paid subscriptions and related billing functions are processed through Stripe. Caivra does not store full payment card numbers. Payment information is handled by Stripe under Stripe’s own terms and privacy practices.
10. Children’s Privacy
ShiftEcho is intended for adult users, including caregivers and care-related teams. It is not directed to children for their own use. If you believe information about a child was provided inappropriately through the service, contact us and we will review the matter.
11. U.S. Service
ShiftEcho is operated from the United States. By using the service, users understand that their information may be processed and stored in the United States.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date above. Continued use of ShiftEcho after an update means the updated Privacy Policy will apply going forward.
